Receptionist

We are looking for a highly professional, organized, and welcoming Receptionist/Front Office Executive to join our team at a key facility (e.g., heritage resort, business center, or clinic) in Kayamkulam. The ideal candidate will be the welcoming face of our establishment, serving as the first point of contact for guests, clients, and local callers. The role demands excellent interpersonal skills, a helpful demeanor, and the ability to manage administrative tasks efficiently.

Key Responsibilities:

Guest & Client Management: Greet and welcome all visitors, guests, and local clients with genuine warmth and professionalism, ensuring a positive first impression reflecting Kerala’s hospitality.

Communication Hub: Answer, screen, and forward incoming phone calls, and manage correspondence (calls and emails), ensuring accurate message relay and prompt follow-up, particularly regarding local services and bookings.

Front Desk Presentation: Manage and maintain the reception area, lobby, and guest waiting zones, ensuring they are always tidy, organized, and presentable.

Logistics & Information: Handle incoming and outgoing mail/courier services. Provide guests/clients with accurate local information, directions, and assistance with services like local transport or tour bookings.

Administrative Support: Perform essential administrative and clerical support, including managing appointments, assisting with registration/check-in processes, data entry, and filing.

Security & Compliance: Maintain facility security by following standard procedures, logging visitors, and controlling access to restricted areas.

Qualifications & Skills:

  • Education: Bachelor’s Degree preferred (High School Diploma or equivalent required). A background in Hospitality or Administration is an advantage.
  • IT Proficiency: Excellent proficiency in the MS Office Suite (Word, Excel, Outlook) for booking, documentation, and communication.
  • Language Fluency: Exceptional verbal communication skills in Malayalam are mandatory. Proficiency in English is required for interacting with tourists and professionals.
  • Organizational Prowess: Strong organizational, multitasking, and time management skills, with the ability to handle both customer interactions and back-office tasks.
  • Professionalism: Impeccable professional attitude and appearance appropriate for a Kerala hospitality/corporate setting.
  • Problem-Solving: Ability to be proactive, resourceful, and handle guest requests or unexpected local issues with composure and a solution-oriented approach.

Preferred Experience:

  • Experience: 1–3 years of experience as a Receptionist, Front Office Executive, or Guest Relations staff is highly desirable, preferably in a hotel, resort, or administrative office in Kerala.
  • Sector Knowledge: Prior experience in the local tourism or service sector.
